Metadata Policy for information describing items in the repository

  1. Anyone may access the metadata free of charge.
  2. The metadata may be re-used in any medium without prior permission for not-for-profit purposes provided the OA Identifier or a link to the original metadata record is given.

Data Policy for full-text and other full data items

  1. Access to some full items is controlled.
  2. Copies of full items generally can be:
    1. reproduced, displayed or performed, and given to third parties in any format or medium
    2. for research or study, educational, or not-for-profit purposes without prior permission or charge. provided:
      1. the authors, title and full bibliographic details are given
      2. a hyperlink and/or URL are given for the original metadata page
      3. the original copyright statement is given
      4. the content is not changed in any way
  3. Full items must not be sold commercially in any format or medium without formal permission of the copyright holders.
  4. Some full items are individually tagged with different rights permissions and conditions.
  5. This repository is not the publisher; it is merely the online archive.
  6. Mention of UNB Scholar is appreciated but not mandatory.

Content Policy for types of document & data set held

  1. This is an institutional repository.
  2. UNB Scholar holds all types of materials except:
    1. Multimedia and audio-visual materials
    2. Software
  3. Deposited items may include:
    1. working drafts
    2. submitted versions (as sent to journals for peer-review)
    3. accepted versions (author's final peer-reviewed drafts)
    4. published versions (publisher-created files)
  4. Items are individually tagged with:
    1. their version type and date.
    2. their publication status.
  5. Principal Languages: English
  6. Where possible, UNB Scholar will strive to ensure readability and accessibility in line with UNB’s Accessibility Statement of Principle. As such:
    1. Items will not be made less accessible (ie: digital rights management measures that prevent or prohibit access).
    2. Users are encouraged to submit documents adhering to WebAim guidelines for accessibility where possible.

Submission Policy concerning depositors, quality & copyright

  1. Items may only be deposited by academic staff, registered students, and employees of the institution, or their delegated agents.
  2. Authors may only submit their own work for archiving.
  3. Eligible depositors must deposit bibliographic metadata for all their publications.
  4. Eligible depositors must deposit full texts of all their publications, although they may delay making them publicly visible to comply with publishers' embargoes.
  5. The administrator only vets items for the eligibility of authors/depositors, relevance to the scope of UNB Scholar, valid layout & format, and the exclusion of spam
  6. The validity and authenticity of the content of submissions is the sole responsibility of the depositor.
  7. Items can be deposited at any time, but will not be made publicly visible until any publishers' or funders' embargo period has expired.
  8. Unless otherwise stipulated by the author, student submissions to UNB Scholar will adopt the Creative Commons 4.0 license.
  9. Rights management and any copyright clearances are entirely the responsibility of the authors/depositors.
  10. If UNB Scholar receives a valid notice of copyright infringement, the relevant item will be removed immediately and the author will be notified.

Preservation Policy

  1. Items will be retained indefinitely.
  2. UNB Scholar will try to ensure continued readability and accessibility.
    1. Items will be migrated to new file formats where necessary.
    2. It may not be possible to guarantee the readability of some unusual file formats.
  3. Where funds allow, UNB Scholar will backup items with partners in external archives.
  4. UNB Scholar regularly backs up its files according to current best practice.
  5. The original bit stream is retained for all items, in addition to any upgraded formats. Acceptable reasons for withdrawal include but are not limited to:
    1. Request of the author/copyright holder
    2. Valid notice of copyright infringement, or plagiarism
    3. Legal requirements and proven violations
    4. National Security
    5. Falsified research
    6. Personal safety/privacy
  6. Withdrawn items are not immediately deleted per se, but are removed from public view for a period of at least 3 months before full deletion.
  7. Withdrawn items' identifiers/URLs are retained indefinitely.
  8. URLs will continue to point to 'tombstone' citations, to avoid broken links and to retain item histories, with:
    1. a link to a replacement version, where available
    2. a note explaining the reasons for withdrawal
  9. Unless otherwise required, the metadata of withdrawn items will not be searchable.
  10. Changes to deposited items are not permitted.
  11. Errata and corrigenda lists may be included with the original record if required.
  12. If necessary, an updated version may be deposited.
    1. The earlier version may be withdrawn from public view.
    2. There will be links between earlier and later versions, with the most recent version clearly identified.
  13. In the event of UNB Scholar being closed down, the database will be transferred to another appropriate archive.
